Client experiences across our services

We came to Mistral Quill because we were about to kick off a system migration and the team had never run anything at that scale before. The Project Setup Session helped us get everything on one page — scope, who was responsible for what, and the two risks that probably would have caused us problems later. It took four days from start to finish and we came out with something actually usable.

The Delivery Support engagement kept us on track through a difficult period. Our in-house team was stretched across too many things and the weekly check-ins gave us a space to surface blockers before they became real problems. The weekly summaries were short and direct — no fluff, just what mattered. One note: we needed to explain our internal processes at the start, which took a week longer than we expected.

We had five projects running at the same time and no shared way of managing any of them. After the Practice Programme, the team has a common vocabulary and a set of templates we actually use. The playbook is short enough that people read it. That was the thing I was most worried about — that it would end up in a folder somewhere. It hasn't.

I was sceptical whether a short Setup Session would make any difference for our product launch timeline. It did. Not because of anything magical — just because having a single written plan that the whole team had seen and agreed on removed a lot of the back-and-forth that had been slowing us down. Straightforward and worth it.

The advisor assigned to us clearly understood how financial services firms operate, which made the conversations much more efficient. We did not need to explain the context from scratch. The Delivery Support arrangement worked well for us — structured enough to be useful, not so heavy that it added overhead.

We brought Mistral Quill in for the Practice Programme as we were scaling from a three-person team to ten. The template set they designed actually fits how we work, which sounds obvious but is harder than it sounds. Six months on, the team is still using the scoping template for every new client engagement.

Case Studies

A closer look at three engagements

Case Study 01 · Project Setup Session

Technology firm preparing a multi-department system rollout

Challenge

A 40-person technology firm in KL was preparing to roll out a new ERP system across finance, HR, and operations. Four departments were involved but there was no agreed scope, no defined roles, and no shared timeline. The project had already been delayed twice.

What We Did

We ran a Project Setup Session over four days — an initial call to understand the state of play, a working session with department heads, and a one-page brief covering scope boundaries, milestones by department, role assignments, and three identified risk areas.

Outcome

The rollout started on schedule the following Monday. Stakeholders cited the brief as the single document they referenced throughout. The project completed within the agreed timeline — the first time the firm had achieved that on an initiative of that scale.

"The brief was actually on the table at every meeting." — Operations Director
Case Study 02 · Delivery Support Engagement

Professional services firm managing a client onboarding overhaul

Challenge

A consulting firm in Bangsar was redesigning its client onboarding process to reduce setup time from three weeks to five days. The project team was strong but the project lead was also handling day-to-day client work, and things were beginning to drift.

What We Did

We provided six weeks of Delivery Support — fortnightly check-ins, a shared tracker in the team's existing project board, and brief written summaries after each session. When a key dependency with IT slipped, we helped the team replan the affected workstreams within 48 hours.

Outcome

The new onboarding process launched at week seven — one week later than the original plan, but well within acceptable bounds given the mid-project IT delay. Average client setup time dropped from 17 days to 6 days in the first quarter post-launch.

"Having an external check-in made us more accountable than any internal meeting ever had." — Managing Partner
Case Study 03 · Project Practice Programme

Growing e-commerce firm building its first project management approach

Challenge

A Subang Jaya e-commerce company had grown from eight to twenty-two staff over two years and was running six to eight internal projects simultaneously. There was no shared approach — different teams used different tools, timelines, and reporting formats, causing confusion at the leadership level.

What We Did

Over seven weeks, we ran three discovery workshops, designed a template set covering scoping, status tracking, and project close-out, and produced a 12-page practice guide. The guide was tested with two live projects before being finalised.

Outcome

Within three months, all internal projects were tracked using the new templates. Leadership reported a significant reduction in "status update" requests — teams could find project status independently. The company has since onboarded four new staff using the same materials.

"We use the scoping template for everything now, even small things." — COO
